The collection, processing and use of data are required for sales, administration and handling and for providing services and all related sundry business.
Collection, storage and processing of personal data, primarily:
- Personal details (e.g. name, address, industry)
- Contract data (e.g. maintenance and repair agreements)
- Intended use and anticipated sales from the contractual relationship.
- Management of customers/prospective customers
- Purchasing with supplier management
- Quality assurance
- Stock management
- Shipment
- Financial accounting and
- Human resources management and controlling
- Description of the category or categories of data subject and of the data or categories of data relating to them:
Personal data on the following categories is mainly collected processed and used, if it relates to natural persons and provided it is required to fulfill the above purposes:
- Customers (address data, identification data, contract data, where required for handing)
- Control data, if necessary other data required for proper handling of the business relationship)
- Service partners (mainly address and contract data)
- Suppliers (address and function data)
- Contact persons for the above categories, also if they are legal entities (contact coordinates and support information).
- Recipients or categories of recipient to whom the data might be disclosed:
- Public authorities that receive data pursuant to statutory regulations (e.g. social insurance institutions, fiscal authorities).
- Internal units involved in executing the business processes in question (HR Management, Accounting, Purchasing, Marketing, Sales, Telecommunications and IT).
- External contractors (service companies) in accordance with Section 11 BDSG for processing data on our behalf.
- Other external parties, such as banks (salary payments, supplier invoices), group companies or other external parties for fulfilling the above purposes, provided the data subject has given his/her written consent, it is required for fulfilling the contract or its transfer is permissible due to overriding legitimate interests of a third party.
- Standard data retention periods:
- Legislators have enacted diverse retention obligations and periods that essentially stipulate a retention period of 10 years, but are sometimes less than that. In addition, there may be deviations due to different retention periods specified in the Articles of Association or contracts.
- When these periods end, the data in question is routinely erased if it is no longer needed to fulfill the contract (e.g. contract of work, service agreement).
- If data is not affected by this, it is erased if the purpose not longer applies.
- Plans to transfer data to third countries:
- In general, data is not currently transferred to third countries.
- If, in exceptional cases, it is necessary to transfer data to third countries, this shall be done only in compliance with the statutory regulations permitting this as defined in Sections 4b and 4c BDSG.
